Basic Security Guide

This is a guide will provide you with the basic essentials of protecting student data.

PASSWORDS

Your passwords are the keys to your accounts that unlock access to CRY-ROP data.
Follow these simple best practices for managing and maintaining passwords:
  • Use Complex Passwords – It should contain:
    • 8 or more characters – The Longer, The Better
    • 1 Upper Case Letter.
    • 1 Lower Case Letter.
    • 1 Number.
    • 1 Special Character.
    • Avoid using a password that can be easily guessed.
    • Avoid using words that can be found in the dictionary.
    • Avoid using your personal information the a password.
  • Do not use the same password on multiple accounts.
  • Voltage Password should be different from your work email password.
  • Do not store your passwords in a plain text file (TXT, DOC, XLSC, and ETC).
  • Do not write your passwords down. Most importantly, don’t leave that paper where anyone can get a hold of it.

BASIC SECURITY PRACTICES

Lock your PC when you step away from it:

    • Press the Windows Key + “L” Key
    • Or Click Start > Click on your Name > Lock
    • Or Press CTRL + ALT + DELETE > Select Lock

Do not use a “Auto-Login” feature.
Do not allow Internet Browsers to save your passwords.

 

HANDLING AND PROTECTING PII (PERSONALLY IDENTIFIABLE INFORMATION)

  • Do not print any PII if at all possible.
  • Any printed PII should be kept in your possession.
  • Printed PII should never be left unattended. Make sure its locked up.
  • PII on the computer and printed PII should only be visible by authorized personnel.
    • Minimize or close any PII screens when others are present.
    • Flip papers over, cover them with another item or place them in a drawer.
  • If PII is not longer needed on paper, shred it! Do not toss it in a regular trash bin.
